Simplified vs full tax invoice in the UAE — which one does your shop print?

A retail receipt and a company invoice are not the same document under UAE VAT. Here is what each must show, when the simplified version is allowed, and how a till handles both.

Most shops print hundreds of receipts a day and the occasional invoice for a company. Under UAE VAT those are two different documents with two different lists of required fields. Getting the lists right is not hard, but it is easy to print a receipt that is missing one line.

This article summarises the rules as published in the VAT law and its executive regulation. It is general information as of the date above, not tax advice: your accountant or tax agent decides what applies to your business.

The two documents

A tax invoice is the document a VAT-registered business must issue for a standard-rated supply. The law allows a shorter form, the simplified tax invoice, in two situations:

  • the customer is not registered for VAT (the typical walk-in shopper), or
  • the customer is registered but the total of the sale is AED 10,000 or less.

In every other case — a registered customer and a sale above AED 10,000 — the full tax invoice is required. In practice: the thermal receipt you hand a shopper is a simplified tax invoice; the A4 document you give a company that asks for its TRN to appear is a full tax invoice.

What a simplified tax invoice must show

Nothing about the customer is required on the simplified form. The receipt may of course show more (payment method, cashier, change), but these five groups are the minimum.

What a full tax invoice adds

Amounts on a tax invoice are stated in AED. If you priced in another currency, the invoice also shows the AED equivalent using the Central Bank rate on the date of supply.

Timing, rounding and records

  • A tax invoice is issued within 14 days of the date of supply.
  • Tax amounts are rounded to the nearest fils on a line-by-line basis.
  • Invoices may be issued electronically if you can store them securely and guarantee their authenticity.
  • Keep records for at least five years; longer for some real-estate records.

How a till handles both

A point of sale does not decide which document you owe; it gives you both and lets you pick:

  • The thermal receipt carries the heading, your name, address and TRN, the date, the item lines, the total and the VAT amount — the simplified list — in your own layout.
  • A full A4 tax invoice is printed on request for a company: you pick or create the customer with their TRN and address, and the invoice number, per-line tax, gross and tax totals come from the same sale.
  • Tax categories per product (standard-rated, zero-rated, exempt) keep the VAT amount right on mixed baskets and report separately for your return.
  • Reports and exports keep the record for the five years.

Quick answers

Can I print the simplified receipt for every sale? Not when a registered customer buys more than AED 10,000 in one sale — then the full invoice is required.

Does the simplified receipt need the customer's TRN? No. Only the supplier's details are required on it.

Can I show "price includes VAT" without the tax amount? The simplified form requires the tax amount charged to be shown, so print the VAT amount as its own line.

Does a shop that is not registered for VAT issue tax invoices? No; a business below the registration threshold issues ordinary receipts without VAT. Ask your accountant about the thresholds and about voluntary registration.
